Organise and correct your transactions
Correct categories, manage rules, add tags and private notes, split expenses, identify transfers, and match refunds in Fireball’s Activity view.
Most changes start from the transaction itself. Open Activity, find the transaction, and tap it. From there, you can change its category, add context, attach a receipt, or fix an automation that keeps making the wrong change.
Start in Activity
Open Activity and choose All. You can search for a merchant, bank description, displayed name, category, private note, amount, or date. Use Filter & Sort to narrow the list by account, income or expenses, date, category source, or tags.
Tap a posted transaction to open it. Use Details for information, notes, tags, attachments, and refunds. Use Category to change the category or review a rule.
Pending transactions are different: they cannot be edited because the bank has not assigned them a stable identifier and their details may change before they settle. Fireball says they usually settle within one to three days. Once a transaction is posted, you can categorise and edit it.
Choose the right tool
These tools solve different problems:
- Use a category when you need to tell Fireball what a transaction was for. Categories affect spending totals, budgets, insights, and FIRE calculations.
- Use a tag when the category is already correct but you want another way to group or find the transaction. For example, use a Reimbursable tag on meals, transport, and accommodation from one work trip. Tags do not change Fireball's calculations.
- Use a split when one payment belongs to more than one category. For example, divide one supermarket payment between Groceries and Household.
- Create a rule when you want Fireball to repeat one or more changes for matching transactions. For example, categorise purchases from the same merchant and add a Work tag automatically.
Start with a manual change if you are unsure. Create a rule only when you can describe which transactions should match and what Fireball should do to them.
Change one transaction's category
- Open the posted transaction.
- Tap Category.
- Choose the category you want.
- When Fireball asks How to apply?, choose Just this one.
That changes only this transaction. If you previously changed the category or accepted an AI suggestion, you can Reset to revert the change. It would remove that one-off choice and let the bank category or an applicable rule take over.
The transaction and its amount stay unchanged. Reset does not edit or delete a rule.
If you created a rule, Reset is not how you edit it. Go to the side menu, Organise > Transaction rules instead.
If this transaction is part of a linked manual transfer, Fireball keeps it in the Transfer category. The category is locked so the two sides of the transfer stay together.
Use a rule for repeated changes
A rule has three parts:
- When decides which transactions match.
- Then decides what Fireball changes on those transactions.
- Review shows the current matches before you save.
For example, if every purchase from the same café should be Dining, create an expense rule that matches its merchant name and sets the Dining category.
Use a rule only when the same instruction should apply again. You can choose Create rule after changing a transaction's category, or open Organise > Transaction rules and tap +.
Set the When conditions
1. Choose a transaction. Choose Expense or Income when possible so the rule cannot affect the wrong type of transaction.
2. Choose the Transaction field:
- Merchant name uses the cleaned merchant shown by Fireball.
- Description uses the transaction description supplied by the bank.
3. Choose the Match style:
- Contains is useful when the text has extra words or numbers;
- Is exactly is the narrowest match;
- Starts with or ends with is useful when the changing text appears on only one side
- Contains all words matches when every word you enter is present, even when other text appears between them.
4. Enter the Text to match. Use Add another match if the same merchant appears under several names. Alternative matches work as “this or that”.
5. Check the match preview before continuing.
Open More conditions when the basic text match is too broad.
You can:
- Give the rule an optional name
- Limit it to selected accounts
- Turn off Include earlier transactions so it starts from the rule's creation date
- Add Text does not contain to exclude wording such as a branch, refund, or another merchant
- Add Amount is within range with a minimum, maximum, or both.
Every condition must match. Alternative text inside the main text condition is the exception: any one of those alternatives can match.
For example, imagine “City Café” purchases should be Dining, but only from your everyday account and only when they cost less than your chosen limit. Use Expense, Merchant name contains City Café, select the everyday account, then add an amount range. The preview shows whether the rule is too broad before it changes anything.
Choose the Then actions
A rule can do one or more things to every included match:
- Rename merchant shows a cleaner merchant name in Fireball.
- Set category applies one category.
- Turn on Split beside Set category to apply the same percentage split to every match. This is useful for a regular payment that is divided the same way each time.
- Add tags applies every selected tag without changing the category or calculations.
- Link to goal records new matching transactions as a contribution or withdrawal for the selected goal.
Only enable actions you need. A rule can add a tag without changing the category, or rename a merchant and set its category at the same time.
Review before saving
The Review step shows every current match and the change the rule would make. Clear any transaction that should not be included. Fireball saves cleared transactions as permanent exceptions to that rule.
If Fireball shows overlapping rules, review their Priority order. When two rules change the same detail, the higher active rule wins. Tags from matching rules can still be combined. Save only when the included transactions match the scenario you intended.
Changing or adjusting the rule
You have two ways to adjust a rule:
- On an affected transaction, tap on the transaction to Category and tap the Categorised by [category] banner at the top. From there you can edit the rule or choose Pause.
- In the side menu, open Organise > Transaction rules, find the rule, from there you can edit, pause, resume, or delete it.
Pausing keeps the rule so you can resume it later, but its live category, merchant rename, tag, and goal actions stop while it is paused. Deleting the rule removes that automation. Neither action deletes the matching transactions. Recorded goal activity also stays unchanged.
If two active rules overlap, check their Priority order. A rule earlier in the list can win the same action for matching transactions. If you want to fix only one transaction while keeping the rule, choose a new category and then choose Just this one.
Create a custom category when the existing choices do not fit
To create or manage custom income and expense categories, open Organise > Categories. You can also add a custom category from the category picker. When changing or deleting a custom category, follow Fireball's review screen so you can see how existing references will be handled. Categories affect budgets, spending totals, and insights.
Deleting a custom category does not delete its transactions. Fireball shows you what else uses the category so you can review the change before confirming.
Create a category when the distinction should affect your financial picture. For example, a Pet care category can have its own Category Budget and appear in spending insights. Do not create a category just to label a temporary event; use a tag for that instead.
Use tags for an extra layer of organisation
A tag adds context without replacing the transaction's category. Useful examples include Reimbursable, Tax, Holiday, or a project name. A Holiday tag can group flights, accommodation, dining, and transport while each transaction keeps its correct spending category.
To add or remove tags on one transaction:
1. Open the posted transaction and stay on Details.
2. Find Tags and tap + or the edit button.
3. Select the tags you want.
To create or manage tags, in the side menu open Organise > Tags. Tap +, enter the Tag name, choose a colour, then tap Create tag. Open an existing tag to change its name or colour. Use View to filter Activity to that tag. You can also delete the tag, deleting it removes it from the transactions and rules that use it. It does not delete those transactions or rules.
For several transactions, press and hold one transaction in Activity, select the others, then choose Tags in the bulk action bar.
If a tag was added by a rule, find the rule in Organise to change it. Removing a manual tag does not override a tag that an active rule still adds.
For extra context on one transaction:
- In Details, use Tags to add labels for filtering and organisation. Tags do not change Fireball's FIRE calculations.
- In Details, use Notes to save a private note when the context belongs to only one transaction and does not need its own filter. Notes are searchable in Activity.
Add an attachment
To save a receipt or another document with a transaction:
- Open a posted transaction and stay on Details.
- Find Attachments and tap +.
- Choose Camera, Photo library, or Files.
- Capture or select an image or PDF.
Use Preview attachment to open a saved file. To remove one, click on the bin icon to Remove attachment and confirm. If the Attachments panel is locked, Fireball says attachments require an active subscription. If an import option is unavailable or the feature does not work as expected, contact support rather than changing transaction data to work around it.
Split an expense
Use a split when one expense belongs to more than one category:
- Open the expense and tap Category.
- Tap Split icon on top right (next to the search bar)
- Add at least two category rows.
- Choose Amount to enter currency values, or Percentage to divide the total proportionally.
- Choose a different category for each row and enter a value greater than zero. Use Fill rest to put the unallocated balance into the last row.
- Tap Save split when the remaining amount or percentage reaches zero.
For example, if a $100 shop contains $70 of groceries and $30 of household items, assign $70 to Groceries and $30 to Household. Fireball uses those parts in the relevant category budgets and spending totals instead of putting the whole $100 into one category.
Fireball shows which parts count as spending. To change an existing split, open the transaction and choose Edit split. Remove split deletes only the saved category allocation. It does not delete the transaction or change its amount. Fireball then falls back to any applicable rule, or to its normal single category. If the transaction is still split, an active rule is creating the split; choose Exclude from rule or edit the rule instead.
If the same kind of transaction always uses the same proportions, create a rule, turn on Set category, then Split, and set the percentage for each category. Review the current matches carefully because the rule applies that same split to every included transaction.
Handle transfers and refunds
Use a transfer category when money is moving rather than being spent or earned. Transfer categories are excluded from spending totals, and Fireball may detect transfers automatically. If a normal purchase or income was labelled as a transfer, choose the correct category.
For a positive transaction that is a refund:
- Tap on the transaction and stay on Details.
- Tap Match as refund.
- Select the original purchase.
The match nets the refund against the original purchase category. If you chose the wrong purchase, use Change match or Remove match. Use Not a refund when the credit should be categorised normally.
Change several transactions together
In Activity, press and hold a posted transaction to start selecting. Select the other eligible transactions, then use Category or Tags in the bulk action bar.
You can set or reset categories and add or remove manual tags. Fireball cannot set one category across a mixed selection of income and expenses, but you can still reset their manual categories. If you make a bulk change by mistake, use Undo in the confirmation message.
Fix duplicate transactions
Merge only when two rows represent the same underlying transaction.
From a transaction:
1. Open the posted transaction.
2. In Details, scroll to Manage.
3. Tap Merge into another transaction.
4. In the Merge into… sheet, select the matching transaction. Search by description, amount, or date if needed.
5. Confirm the merge.
Fireball keeps the transaction you selected as the target and removes the other row from your normal lists. It shows an Undo option after the merge. Available undo actions also appear under Settings > Data Management > Recent transaction changes.
You can also review likely duplicates from Settings > Data Management > Find duplicate transactions. Review each pair, choose Keep this transaction for the row you want to keep, or choose Not a duplicate when the rows are different.
If Merge into another transaction or the duplicate scanner is not shown, or you cannot tell whether two rows are duplicates, contact support instead of merging them.
If something still looks wrong
If a saved change disappears, a paused rule keeps changing transactions, or an edit fails:
- Open Fireball's menu.
- Choose Support.
- Choose Contact support.
- Say whether the issue affects one transaction, a rule, or a bulk change.
- Include the exact message shown by Fireball.
The in-app email includes privacy-safe diagnostic information. Do not include passwords, bank login details, full account numbers, or raw transaction details.
